Dubsado Forms for Onboarding & Content Approval

0:00 Hey there, in this video, uh, I want to talk to you about the dobsado forms that I use in combination with the set up OS forms. 0:10 So the set up OS has all of the content that you need for onboarding and content approval, and so I named those onboarding questionnaire and content approval questionnaire within notion. 0:23 But the thing is is that I do use Demsado for my client experience. I use that to automate my client experience. 0:32 And so once a client has, for example, booked their process mapping session, I want to immediately send them their onboarding worksheet. 0:39 And if they haven't completed it within the time that I asked them to, I want them to get a reminder. 0:44 And it's the same for the content approval questionnaire. I want it to send once the process mapping session is over and I want them to receive a reminder if they don't have it done by the due date. 0:54 But Notion can't do those automated reminders and so I want both. I want both worlds. I always want the best of both worlds. 1:01 So what I do is I have this Dubsato form so you can see this is a Dubsato questionnaire. And what I do is I put these directions in here for accessing the workbook. 1:14 So, I say your onboarding question is found at the link below. Note that this works you created in Notion, your table was another one that I tested out, but this links directly to their specific portal within Notion. 1:29 And so, what I ask them to do is once they've completed their form within Notion, I ask them to come back, hit done, and then hit submit or done on this form, and I tell them what's next. 1:42 So, both this form and the content approval form are pretty much exactly the same. I just swap out the names and swap out the next steps. 1:50 And I am including an undesigned version of this in the setup OS so that you can duplicate this in. So the way that I make sure these links are always customized without that being complicated is I use the button hack. 2:06 So within this button is a smart field as the URL. And so then when I'm on the client profile, I fill in their specific link to that smart field and then auto fills into this form. 2:19 And I don't have to remember all the places that it needs to be updated. So this is what I do. 2:24 This is what I highly recommend. And I am including the template to make this as easy as possible for you. 2:30 Personally, I would hate to be manually emailing links, manually reminding people and having to just check and see if the client is done. 2:40 I think that can lead to some miscommunications as well. Like, maybe the client thinks they're done and they're not, or they forget to tell you, or, you know, just whatever. 2:48 I prefer for them to just officially say, like, yes, this is done. And then I can go check it, see if I agree, I'll follow up with them if it's not. 2:57 And I slash my assistant get notified when it is all complete. So this is what I highly, highly recommend that way all of your workflows really stay in tact as well. 3:07 You need to switch out which form your workflow is sending, but the workflow structure probably isn't going to change at all if you do this method. 3:16 So this is what I recommend, and if you keep on going, you will see more about what content is actually included in the onboarding questionnaire and the content approval questionnaire. 3:26 Thanks.
