What is the Content Directory?

This page contains a detailed, client-specific inventory of every content element you'll need to build their Dubsado system. It’s organized by content type so you can easily view, track, and manage everything in one place - from branding assets to schedulers and workflows.

Use this page to:

  • Confirm what content has already been created or collected
  • See what still needs to be built or reviewed
  • Access branding materials easily during design
  • Assign templates where applicable
  • Keep internal notes as needed

Content Type Details

Client Branding

This section pulls in all branding details the client provided in their Onboarding Questionnaire - including colors, fonts, logos, and product images. This allows for easy reference during form design, portal setup, and any other client-facing design elements.

If you're using external file storage (like Google Drive), any shared upload links will also appear here.

You do not need to input anything in this section. It's purely for reference.

Project Statuses

A complete list of all Project Statuses used in workflows, grouped by Lead and Job.

If you didn’t assign Lead vs. Job while mapping, you can update that here. Once confirmed, mark each status as input after adding to Dubsado.

Tags

A full list of all Tags included during workflow mapping.

Use this section to confirm Tag setup in Dubsado and mark each as input when completed.

Custom Fields

All Custom Fields used in emails, workflows, or forms will be listed here, split by Client-level and Project-level.

If level type wasn’t assigned during workflow mapping, update it now. Mark each field once it has been added to Dubsado.

Other Assets

This is a flexible section for tracking outside content or client-provided information that doesn’t fall under standard categories. These items may include:

  • Links or files to collect from the client
  • Documents required for the system (e.g. client contracts, service guides)
  • Team-created content (e.g. tutorials, PDFs, graphics)
  • Notes or content that needs client review
  • Recommended or included Zaps

Only include information here that needs to be managed separately. For smaller notes (like location directions or email copy phrasing), add them directly to the email/form content and mark it as CLIENT TO REVIEW instead.

Use this section to track both:

  • Whether the client has submitted the item (via the Content Approval Questionnaire)
  • Whether your team still needs to create it

Emails

All emails referenced across workflows, Payment Plans, and Schedulers are listed here.

You can:

  • View the full list or filter by Payment Plan Emails and Scheduler Emails
  • Track whether emails have been drafted, reviewed, and input
  • Assign templates from your template bank (if not done during mapping)

Use this area to centralize all email content and keep status updates organized.

Payment Plans

Lists all Payment Plans, Installments, and associated Reminders required for the client’s system.

If this wasn’t mapped out in the Payment Plans section earlier, complete it now. Mark each element as input once it’s set up in Dubsado.

Forms 

All forms referenced in workflows appear here, grouped by form type.

Each form includes:

  • Client-provided content from the Content Approval Questionnaire
  • Optional Form Template field for internal reference (e.g. which template to start from)

Use this section to guide the form-building process. Mark each form as input once it's live in Dubsado.

Tip: Only list additional content requirements specific the client - base template content should live in the template library.

Schedulers & Scheduler Groups

All required schedulers are listed here. Click into each item to view the full settings submitted by the client.

Mark once each scheduler is created in Dubsado.

To Dos

A reference list of all required internal To Dos to be added for this build.

Each To Do should have:

  • Assignee
  • To Do content
  • Reminder

Templates can be applied to speed up SOP writing. You can draft directly in each page, or use a To Do Template Bank to autofill the content section.

All Content

A master list of all content listed across every section in the Content Directory.

Use this view to get a complete picture of everything associated with the client build.

All Content Not Yet Input

Same as above - but filtered to show only the content that has not yet been added to Dubsado.

Use this to track what's left before final review and workflow hookup.

Workflows to Hook Up

Once all workflows have been built in Dubsado, use this page to connect each workflow to the appropriate form to make sure the workflows are kicked off correctly.

This is your final step to ensure all workflows are fully functional.
