Layout & Navigation

0:00 Hey there, in this video, I'm gonna be walking you through the client hub page for a standard client So I am going to open up my test client here And I really just want to walk you through the layout and navigation in this video There will be detailed videos on each individual page as you continue through 0:19 this module So when you open up an individual client, what the first thing you need to understand is everything that you see on this page is specific to this client So no other client information should show up here, only information specific to this client. 0:36 Up at the top, you're going to have their profile information. So first of all, you're going to see a profile checklist. 0:42 This is telling you all the things that you still need to fill in. You're going to see the status of any projects that you have open with them, and you're going to see the key links here that you may have filled in for them. 0:53 So as you can see in this client profile, we are missing lots of stuff. So if I were to toggle open basic information, you can see the information I can switch out here So if I realized I had a typo here, you know, if this is test clientele and said I can change that here And when I change it here, it 1:10 is automatically going to update in other places as well I can fill in their referral source and I can update their photo This photo is what shows up here and theoretically the client could see this So this is a nice neutral image of just somebody on a laptop but you can always change this out if you 1:25 wanted to make it specific to that client. I'm going to close that and then I'm going to toggle in on the file sharing links. 1:32 So this is where you are going to want to put in all of the links that might be relevant to this particular client and sharing files. 1:39 So I like to have a Canva folder URL so every Canva design that I do for them, which might include their favicon or domain preview image. 1:48 So it's not just forms. I would go ahead and put their Canva folder here. file sharing URL is where I would put their overall client folder. 1:57 So in my case that's Google Drive. And so whichever folder says test client name, that is the folder I would fill in there. 2:04 And then these are the files that I use as the structure, the subfolder structures. So I recommend having one for logos and headshots, the folder for what they want their email signature photo to be a folder for fonts, a folder for product images, and then a folder for just other documents and content 2:23 . This is what I find helps keep things the most clear. I put headshots in with logos because otherwise I might get confused and think that, you know, like if I'm working with a photographer, it's hard for me to distinguish who their clients are versus who my client is. 2:39 So that's why I keep those separate. So all team members will be there and logos, email signature photo, there should be only one, fonts, product and documents and content are all pretty straightforward. 2:50 So I would be filling in all of these links to these specific folders here. And if you keep going to the zap module in this instructional course, you will see that there is actually a zap that will help you get this done very, very quickly and easily associated content. 3:05 You're probably not going to manage much from here, but this is where any just random client files that they have shared with you, you can upload here. 3:12 Or if you want to keep any private notes, you can add those here. And then finally, everything else, again, this is kind of hidden on purpose. 3:18 you can click three more properties to see it, but you don't need to. Those are back-end things that are part of what makes the system go, but are not things you need to be aware of. 3:28 As we scroll down, this page is going to be split into two sections. The top section is client dashboard, and so these are going to be things that if your client were to be on this page, they would be able to see. 3:39 They would be able to see their own services, their payment plans on their workflows. However, then we keep scrolling and we have this internal project management section, where projects and tasks are listed. 3:50 If your client were to view this page then here, they would basically be told that they don't have permission to view these particular items. 3:57 And there's not a super great way of sharing it with them. Go ahead and check out the sharing module if you want to know more about that, but it's split up this way so that it's not going to be weird for them to be able to see some things and not other things. 4:10 So since we're here, we'll just keep going with internal project management. So the idea here is that you can't have multiple projects per client. 4:17 This is set up very similar to Deb Sado. You can have multiple projects per client there as well. For most done for you clients you're probably not going to have that until they come back later for help. 4:29 So a done for you client may have started with a strategy session or they may come back for a strategy session later when they need to update things or just various other things. 4:38 You know, maybe they'll contact you for just a form design because they've done a rebrand or something in the future. 4:43 And so basically this allows you to see all the different projects that you've done with them in one location, whereas this stuff is not specific to individual projects. 4:54 So the client services that they offer and the workflows that you previously set up are relevant when they come back for a strategy session, or if you did not strategy session first, and then you're moving on to done for you, you want to be able to see all of this information. 5:08 So these are things that are not going to change from project to project with an individual client. If you were to have a client that had multiple companies, I would probably set up two separate clients, one for each company in here so that you have all the workflows for one client and one and all the 5:24 workflows for the other company in that other project. Over on the left hand menu side, this is going to be where a lot of navigation happens. 5:32 So this is where you're going to find the content directory, the onboarding questionnaire, the content approval questionnaire, any next steps guides. 5:40 Again, there can be multiples. So the setup OS comes pre-loaded with a done for you next step guide template. But you may be able to create other templates for other services. 5:51 Check out the advanced module for more information on how to do that. Workflow wins. This is the ROI report. And then internal unfinished business. 6:01 So there are going to be individual modules on how to operate all of these things. But I wanted to just kind of give you this breakdown of this page, because the idea is that you will be sharing this full page with your client. 6:16 Not in a way where they're necessarily going to be clicking around on here a ton, but from a permissions perspective, we do need to share this entire page with them so that they can see everything they need to see. 6:26 And so as you continue through modules anytime I'm referring to a client page, this is what I am talking about where everything you see here is relevant specifically to that client possibly across multiple projects. 6:40 So keep on going and you are going to learn a lot more about what all of these things do. But this is how we get to a particular client page and the type of information that we should be expecting to find there.
